Job Description
Assembling and auditing outpatient and Inpatient Files. Preparing, Maintaining, and Submitting the Statistics as per the requirements of the Management and Dubai Health Authority.
Responsibilities
- Receiving records from clinics, emergency room, wards, and other sections.
- Update all received records.
- Attestation of Birth, Death, Infectious diseases notifications to Dubai Health Authority.
- Collect the data from various departments in the prescribed format.
- Enter the data in the system for the retrieval on the daily / weekly / monthly basis.
- Send the statistical report to the concerned Government Department as per the instruction.
- Maintain the log sheet / register for the submission of report.
- Prepare the administrative statistics as per the requirement.
- Maintain all data of admission and discharge patients.
- Make a follow-up checking of missing records.
- Entertain incoming phone calls with a proper attitude and response immediately.
- All other duties assigned by the Medical Record In-Charge.
- Prepare any statistics upon the request from the companies and Government Agencies.
- Prepare any other statistics as per the instruction of the supervisor.
- Checking the discharged list against the received medical records and provides proper assembling and processing of the inpatient medical records as per the procedure.
- Evaluate each patient record’s deficiency and arrange them for completion with the cooperation of medical and nursing personnel.
- Issuing of sick leaves for the patients.
- Check all loose or misplaced report in the patient records if they were properly mounted in the mount sheet and arrange them in the chronological order.
- Ensure all documents in every patient record audited so as to avoid further loss of these documents.
- Dispatch assembled records to the completion area for further process. Merge all duplicate patient records and verify if they are really duplicates.
- Re-folder all the damaged patient records and arranged them in the proper order.
- Coordinates with the other Medical Record Department assistants for all the needed patient records.
- Exports scanned documents to the Hospital Information System (HIS).
- Does manual entry and verification of scanned documents.
- Trains newly joined doctor on the Hospital Information System (HIS).
- Attends doctor’s call on clarification on Hospital Information System (HIS).
- Approaches doctors on completion of forms and other documents in the medical records.
- Assists and coordinates with Medical Record Department staff.
- Adheres to all Joint Commission International Accreditation and Hospital related rules and regulations.
- Participates on educational programs relative to Medical records functions.
- Performs other related works as per the instruction of the Medical record In Charge.
- Performs other related works as per the instruction of the Head of Department.
Qualifications
- A college graduate preferably with a Medical Record Technician course.
- A minimum of two or more years of experience in Medical Record Department.
- Computer Literacy.
- Excellent command of oral and written English. Knowledge in Arabic is desirable but not essential.
- Achievement of Core objectives in line with the expectations of the Management and stakeholder.
- Ability to work constructively and interact professionally with others.
- Ability to coordinate multiple task, adjust to changing priorities and work within deadlines.
- Ability to attend to meetings outside of normal business hours.
