Job Description

Operational Duties

  • Assists the Unit HR in processing all aspects of HR transactions as required.
  • Provides administrative support to the new joiners.
  • Create new employee files as and when required.
  • Maintains accurate records of employee credentials and documents in respective personal files on regular basis. Compiles, copies, sorts, and files records of employees, HR transactions and other activities. 
  • Updates employee data and scanned copies of documents in the HR Shared folder. 
  • Retrieves information from  files in response to requests from authorized users.
  • Tracks documents removed from files, ensures that borrowed files are returned. 
  • Tracking of probationary dates and provide monthly updates.
  • Ensure personnel files are maintained as per JCIA requirements.
  • Coordinate with staff, department heads & CRN for performance review reminders & education related documents for HR records.
  • Fills, receives and follows up stationary requisitions for HR department.
  • Follow-up with departments for collection of monthly timesheets.
  • Input relevant data in HR Worksheets & to generate reports within the scope of tasks assigned.
  • Receiving & maintaining all original documents / License / Labour Cards / Passports / Certificates.
  • Filing the exit clearance form of leavers as per compliance requirements.
  • Screening and scheduling interviews (Internal vacancies).
  • Developing co-operative relationship within the work group by supporting the team members.
  • Any other task assigned by the HR Manager or HR Executive within the scope of the job.

General Duties

  • Types memoranda, letters, forms and handles other general typing work as directed.
  • Answers telephones, routes callers, takes messages and provides routine information to callers.
  • Makes local travel arrangements in coordination with facilities department for new employee orientation/ medicals etc. when necessary.
  • Schedules meeting requests, arranges appointments, and manages HR calendar & work schedules.
  • Attends meetings as required.
  • Performs other related duties as assigned or requested.
